Vaatsalya Hospital: Administrative Officer

PURPOSE OF THE POSITION
The Administrative Officer is responsible for maintaining day to day financial, accounting, administrative, legal, operational, stores, procurement and personnel services in order to meet hospital requirements and support Hospital administrator in achieving targets set for the individual hospital. First lind of support throughout the entire Hospital on a 24-hour basis.

JOB DESCRIPTION

PLANNING: Works with Hospital Administrator, Medical directors and Corporate team to identify operational issues, implement changes, track and improve the performance.

ACCOUNTS MANAGEMENT: Responsible for managing all accounting details, including billing, tally update, credit, purchase, invoice management, coordination with HO, daily cash deposit to Bank, monthly reconciliation and closure of books

COUNSELLING: Counsels employees on joining; for improvement in performance or resolve employee grievances.

EDUCATION: To educate new employees about service rules, roles, expectations, duty hours and policies. To ensure continued education for existing employees on HR policies.

GROUP HEALTH INSURANCE COORDINATION: Manages Vaatsalya Employee Insurance files and educates employees on Health Insurance policies, procedures and claim process. Ensures timely recovery of dues from insurance companies and TPAs. Coordinates with HO on updation of records and inclusion of new employees in GHI plan.

DAILY ROUNDS: Conducts ward and department rounds twice a day as per SOP and collects relevant information as per rounds.

DOCUMENT MANAGEMENT: To manage all paperwork, correspondence, personal and financial information, in the hospital.

TRAINING: Train personnel in the hospital on policies, process, systems, IT, billing and other operational activities

HUMAN RESOURCE MANAGEMENT: Identify manpower requirements, plan job descriptions, screen and recruit candidates, manage induction and onboarding, offer appointment and confirmation letters, maintain documentation for employees. Record and communicate attendance to HO as per protocol. Ensure salary disbursement as per schedule.

MAINTENANCE WORK: Responsible for ensuring all maintenance work is completed as per schedule and plan.

PROCUREMENT AND STOCK TAKING: Efficiently manages planning of purchase, coordinates with procurement team, handles logistics and ensure adequate stock of essential items. Conducts regular stock checks to prevent pilferage.

CUSTOMER MANAGEMENT: Resolves customer queries and escalates to customer care incharge or hospital administrator as required.

COORDINATION: Coordinates with various departments within the hospital and with HO teams.

LEGAL/PERMISSIONS: Responsible for obtaining permissions, licences and liasoning with government or other agencies as per instructions from medical director and hospital administrators.

Salary Grade: 12k – 20K (Depending on experience)

JOB DESCRIPTION

REPORTING: Is responsible for ensuring patient care is as per Vaatsalya Standards and will report to Hospital Administrator.

PLANNING: Works with Hospital Administrator, Medical directors and Corporate team to conceptualise customer care programs, implement, track and improve the performance.

COUNSELLING: Counsels patients and families at admission; records necessary personal information secures required signatures and consent; prepares and supplies patient data to various hospital departments.

EDUCATION: To educate patients about services, generate patient files, and facilitate patient movement to wards or OT through a pre-determined Vaatsalya SOP.

AWARENESS: To promote good health/disease prevention strategies by educating customers about important areas of a healthy lifestyle, prevention and regular health checkup.

INSURANCE COORDINATION: Manages Vaatsalya’s Insurance files and educates employees and customer on Health Insurance policies, procedures and claim process. Ensures timely recovery of dues from insurance companies and TPAs

DATA MANAGEMENT: To obtain all necessary medical, personal and financial information, ensure that all pre-admission tests are complete, and answer all patient questions prior to admission to the hospital.

TRAINING: Train personnel in the hospital on policies, process, systems, IT, billing and other operational activities

BILLING: Ensures chargesheet/billing sheets are completed and as per Vaatsalya SOP on daily basis.

PATIENT CARE: Is responsible for entire gamut of activities from time of admission till discharge

FOLLOW UP: Follow up with referring doctors, patients, insurance companies and other partners on regular basis as per Vaatsalya SOP

MARKETING: Coordinate camps, outreach programs and other promotional activities as per Vaatsalya Standards.

Salary Grade: 4k to 10k.
